Job Summary:

The Senior Associate – Admin & Transportation will support office operations and manage transportation logistics. This role requires a highly organized individual with strong communication skills and the ability to multitask in a fast-paced environment.

Responsibilities:

Administrative Support:

  • Assist in organizing office events and meetings.
  • Maintain records and documentation related to facility operations.
  • Ensure office supplies and equipment are maintained.
  • Handle procurement of goods and services for office activities.
  • Prepare and manage the facility’s budget.
  • Negotiate contracts with suppliers and service providers.
  • Schedule appointments, meetings, and travel arrangements for staff.
  • Address and resolve facility-related issues or complaints.
  • Ensure high satisfaction levels for internal and external stakeholders.
  • Plan and coordinate events and activities at the facility.
  • Liaise with event organizers to meet requirements and ensure successful events.
  • Manage relationships with vendors and contractors, ensuring up-to-date contracts and service delivery.

Transportation Coordination:

  • Coordinate transportation logistics for staff and visitors, including booking vehicles and managing schedules.
  • Create daily trip rosters for employees using company transport services.
  • Ensure timely and safe transportation of goods and personnel.
  • Maintain records of vehicle usage, no-shows, and timings.
  • Monitor and manage transportation costs within budgetary constraints.
  • Ensure compliance with transportation regulations and safety standards.
  • Liaise with internal teams to understand transportation needs and provide efficient solutions.
  • Communicate effectively with drivers, staff, and external stakeholders.
  • Handle inquiries and resolve transportation-related issues promptly.

Minimum Qualifications:

  • Bachelor’s degree in Business Administration, Facility Management, or a related field.
  • Proven experience in facility management or a similar role.
  • Excellent organizational and multitasking skills.
  • Proficiency in Microsoft Office Suite and facility management software.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Minimum of 2 – 3 years of experience in the above role.

Preferred Qualifications:

  • Certification in Facility Management (e.g., Certified Facility Manager – CFM).
  • Experience in budget management and transport management.
