Role and Responsibilities:
As a Business Operation Analyst, your primary responsibility is to provide comprehensive operational support encompassing billing, headcount management, asset management, audit and compliance, facility and seating management, procurement, and travel coordination. Reporting to the Operations Manager, your role extends to ensuring seamless execution of business operations activities and may include additional responsibilities aligned with business needs.

Key Responsibilities:

  • Asset Management: Forecast asset requirements, coordinate laptop refresh and repair, conduct asset validation, and maintain asset inventory.
  • ERO and Audit: Manage project classification and ERO data, support quarterly and yearly audits by providing evidence and artifacts.
  • Business Compliance: Follow up with business unit employees on compliance activities, ensuring timely completion.
  • Facility, Access, and Seating: Coordinate in-house events, handle access issues, manage seating plans across ISDL locations, allocate seats, and track occupancy.
  • Engagement and Collaboration: Work closely with operations teams in Bangalore, Pune, and Hyderabad, engage with managers and employees to enhance employee experience.
  • Billing Support: Confirm monthly billing, track actuals against each program, liaise with managers and WW Ops on billing changes and discrepancies.
  • ICA & DOU: Budget and forecast yearly ICA costs, create ICA and DOU, track ICA spend and supplement if necessary.
  • Contract Hiring: Forecast and approve yearly budgets, screen and shortlist candidates, coordinate interviews, negotiate purchase orders, and provide onboarding support.
  • Procurement & Logistics: Collaborate with the US team for procurement and logistics, handle hardware configuration, pricing and quotations, order release, and logistics management.

Required Skills:

  • Experience: 4+ years in operation and administration.
  • Networking: Extensive engagement with HR, procurement, legal, RESO, and external vendors/agencies.
  • Budget Management: Overhead expense and budget management.
  • Reporting: Proficiency in Microsoft Office Suite for reporting.
  • Communication: Excellent written and spoken communication skills.
  • Adaptability: Ability to thrive in a fast-paced environment.
  • Consulting Skills: General consulting skills and successful negotiation abilities at all levels.

Preferred Skills:

  • Experience: 4+ years in operation and administration.
  • Reporting: Proficiency in Microsoft Office Suite for reporting.
  • Expertise: Experience in vendor management, headcount management, procurement, and MIS.
